Privacy Policy
Last updated: 19 October 2026
This policy explains how Yokiko Shiba Inu handles personal information provided through this website and in later correspondence. Whether the Privacy Act 1988 (Cth) applies to a small business depends on its circumstances and activities; this policy does not make a claim about Yokiko's statutory status. We intend to follow the practices described here.
1. Information we collect
Depending on how you use the site, we may collect:
- contact-form details: name, email address, enquiry type, optional suburb and state, message and submission time;
- application details: name, email address, phone number, state, country, referral source, age confirmation, household and housing information, fencing, care plans, current and previous pets, breed knowledge, training plans, puppy preferences, timing and transport information, and optional free-text answers;
- information you choose to provide in later emails or conversations;
- basic technical and security logs that may be created by our hosting and service providers, such as IP address, browser information, requested pages and timestamps; and
- your light or dark theme preference, stored in your browser under the key
yokiko-theme.
Please do not include unnecessary sensitive information in a form or free-text field.
2. Why we use it
We use relevant information to:
- respond to enquiries and keep a record of correspondence;
- review applications and communicate about the waitlist or a future litter;
- consider household suitability and temperament matching;
- make arrangements with successful families and maintain necessary puppy, owner, microchip and sale records;
- operate, secure, troubleshoot and improve the website; and
- meet record-keeping or other legal obligations that apply to us.
We do not sell personal information.
3. Service providers and disclosures
Contact and application forms are transmitted using EmailJS and delivered to a Gmail account operated by Google. The website is hosted on Vercel. Google Tag Manager (GTM) manages Google tags and loads only after analytics acceptance. These providers may process technical or submitted information under their own terms and privacy practices.
Optional Google Analytics 4 (GA4) is intended to measure website traffic and visitor engagement. Analytics measurement is disabled until you explicitly accept analytics. Advertising-related consent remains denied. We do not intentionally send application answers, names, email addresses, phone numbers or contact-form messages into GA4. Google may process analytics information, including technical request information such as IP addresses, under its published service and privacy practices. We do not describe analytics data as completely anonymous.
We may also disclose information where reasonably necessary to obtain professional advice, comply with law, protect people or property, or complete arrangements requested by a successful family.
Cookies, storage and analytics choices
The website stores your optional analytics choice in your browser underyokiko-analytics-consent. A missing, invalid or inaccessible preference does not grant analytics consent. Functional preferences such as the separate theme setting do not require analytics acceptance.
Use Privacy settings in the footer to view or change your choice. You can accept or decline without affecting forms, guides or other essential website functions. After acceptance, Google Analytics may set first-party analytics cookies. If you withdraw consent, we disable measurement, remove accessible first-party Google Analytics cookies where possible, and reload the page to stop the loaded analytics runtime. We do not remove your theme preference.
Browser restrictions can prevent a choice being saved or a cookie being removed. We cannot clear third-party or otherwise inaccessible cookies. Withdrawal does not retroactively delete analytics information already transmitted to Google.
These consent controls are implemented in the website. Publication of the intended GA4 tag in GTM and live production measurement have not been independently verified. Website deployment, GTM configuration and publication must be checked before analytics is described as operational.
4. Overseas processing
EmailJS, Google and Vercel are international service providers. Information may be processed or stored outside Australia, including in locations selected by those providers. We do not control every processing location used by them.
5. Retention and deletion
Our intended manual retention practice is:
- general enquiries: up to 12 months after the last meaningful contact, unless the matter remains active or a record is reasonably needed;
- unsuccessful applications: up to 12 months after the application is closed;
- active waitlist applications: while the applicant remains under consideration; and
- successful families: essential owner, puppy, microchip and sale records for as long as reasonably or legally needed, while application answers that are no longer needed are normally deleted after 12 months.
These periods describe an intended manual housekeeping process. They are not a promise of automatic deletion from our mailbox or a provider's systems, backups or logs. The records therefore require regular manual review.
6. Security
We take reasonable steps appropriate to a small website and email-based application process, including limiting access to accounts and using established service providers. Access to enquiry and application emails is intended to be limited to Bob and Kelsi. No internet transmission, email account or storage system can be guaranteed completely secure.
7. Access, correction, deletion and concerns
You may ask what personal information we hold about you, request a correction, ask us to delete information we no longer need, or raise a privacy concern. Some records may need to be retained for legal, transaction or animal-record purposes. Contact yokikoshibainu@gmail.com. We may need to verify your identity before actioning a request.
8. Changes to this policy
We may revise this policy when our forms, providers or practices change. The date at the top identifies the current published version. Material changes apply from publication and do not rewrite how information was handled before that date.
